Follow these four steps to go from signup to your first AI report — typically takes under 30 minutes.

Create a Location & Get Your QR Code

Go to Admin Dashboard → Locations. Click "Add Location" and fill in the name (e.g., "Main Workshop") and address. The system instantly generates a unique QR code for that location.

Download, print, and laminate the QR code. Place it at the entrance or in a visible spot where employees will scan when they arrive and leave. Optionally add work type (e.g., "Metal fabrication") and units (e.g., "kg, pieces") to help AI generate more specific daily summaries.

Add Your Employees

Go to Admin Dashboard → Employees. Click "Add Employee" and enter the name, work email, and a temporary password. Share these credentials with your team member — they can log in from any device with a browser.

Employees do not need to install any app. They access AgiloBee from their phone's browser and use the camera to scan QR codes.

First Employee Login & Check-In

The employee logs in at agilobee.com with the credentials you provided, then changes their password. On arrival at work, they tap "Scan QR Code" in the app, point their camera at the location's QR code, and they're checked in — the timestamp is automatic.

At end of shift, they scan again to check out. They then submit a work report: what tasks they completed, quantities, and any issues encountered. This takes about 30–60 seconds.

View Reports & Export

Go to Admin Dashboard → Reports. Filter by date, employee, or location. View hours worked, tasks completed, and AI-generated daily summaries. Export to CSV for payroll processing or client invoicing.

AI reports are generated automatically each morning, summarizing the previous day's activity across all employees and locations.

Frequently Asked Questions

What if an employee forgot to check out?

Administrators can edit any time entry. Go to Reports → find the entry → click Edit to correct the check-out time. This ensures payroll accuracy even when employees forget to scan.

Can employees work at multiple locations?

Yes. Scanning a different location's QR code automatically switches the employee's active work session to the new location. The system tracks time at each site separately.

How does AI know what to write in the daily report?

AI reads the task descriptions that each employee submits after their shift, along with the timestamps and location data. It identifies patterns, aggregates totals, and flags anomalies. The more detail employees provide in their task descriptions, the richer the AI reports.

Is my data secure?

Yes. All data is encrypted in transit and at rest. Each company's data is completely isolated — there is no possibility of one company seeing another's data. We comply with GDPR and data protection regulations. See our Privacy Policy for full details.

Do I need to install anything?

No. AgiloBee is a web application that works in any modern browser on any device. Employees use their phone's built-in camera to scan QR codes. No app download required for basic functionality. An optional PWA install is available for a more app-like experience.
